Job Description
The Community Administrator is responsible for accounts receivable and account payable duties including maintaining financial information systems for the community, preparing invoices and/or checks for processing, verify proper approvals and coding, support the leasing department, prepare, submit and follow-up of service requests, and providing high-quality customer service to residents and prospective residents.

Key Responsibilities

  • Effectively develop and implement personal sales and telephone skills to support the leasing department; Ability to provide information about the apartments and the community to the prospective resident and schedule visits to the community.
  • Collects security deposits, rent and all other funds associated with resident moves.
  • Maintain prospect, traffic and leasing data in computer system.
  • Retain thorough product knowledge of market competition.
  • Respond to resident problems and complaints, following through to ensure resolution of issue
  • Scan and extract invoices, obtain W-9 information for the set-up of new vendors and ensure certificates of insurance are current prior to releasing payments.
  • Review A/P or A/R related reports and quality check, research and resolve returned and outstanding checks as well as invoice exceptions and discrepancies. Respond to requests regarding the status of invoices and payments.
  • Completes service requests and communicates with Maintenance Department.
  • Conducts follow-up activity with all residents to establish positive resident relations.
  • Maintains open communications with Management, Recreation, and Maintenance Departments.
  • Implement or direct implementation of all applicable community policies and procedures.
  • Ensure compliance with all federal, state, and local laws, specifically Fair Housing regulations.
  • Assist the supervisor in various responsibilities.
  • Monitor collections, enforce the collection policy, and initiate legal action when required.
Qualifications
  • High School diploma or GED equivalent, undergraduate degree preferred
  • 1-2 years of administrative experience in a retail, hospitality or multi-family environment. Fluent with Microsoft Office
  • Excellent customer service skills warm, friendly and helpful in person and on the phone
  • Ability to multi-task
  • Strong verbal and written communication skills
  • Strong organizational skills
  • Good math skills, computer skills and ability to prioritize tasks
  • Positive attitude
  • Self-starter
  • Strong computer skills: Microsoft Office, posting on internet listing services, social media sites, ability to research, ability to use property management software, typing and writing ability for correspondence, memos, marketing materials, etc.
